Who is responsible for your information
WAX Events is the controller for this website. For privacy questions or requests, email events@waxgroup.co.uk.
What we collect and why
Event galleries contain photographs, including images of attendees, alongside event information and photographer attribution. We use them to deliver event photography, operate the gallery and maintain an event archive. We rely on our legitimate interests where appropriate and assess those interests against the rights of people shown in photographs.
When you buy a photograph, we store your email address, order details, Stripe transaction references, access-code details and download history so we can fulfil the purchase, provide support, prevent misuse and meet accounting obligations. Stripe handles card details; they do not pass through this website. The WAX team also receives an internal sale notification so orders can be monitored and supported.
If you ask us to email a favourites restore link, we temporarily store your email address and the selected photo identifiers. If you request that a photo is reviewed or removed, we store the photo reference, your reason, optional contact details and basic security information so the request can be assessed and followed up. Staff accounts, audit records and short-lived security logs are also used to operate and protect the service.
Who receives information
We use service providers for website hosting, transactional email and payment processing, including Stripe. They receive only the information needed to provide their service. Their processing may involve locations outside the UK, in which case the relevant provider terms and safeguards apply.
How long we keep information
Favourites restore links expire and are deleted after 30 days. Download records are kept for up to 365 days. Detailed processed Stripe webhook payloads are removed after 30 days. Photo review/removal requests are kept while needed to assess and evidence the request. Short-lived application logs are rotated separately.
Order and accounting records are retained for the period needed to meet legal and financial obligations. Photographs are reviewed as part of our archive and kept only while they remain needed for the archive purpose, purchased access or another applicable reason. We can remove a photograph from public view promptly and erase files where a valid erasure request applies.
Your rights
You may ask for access to your personal information, correction, erasure, restriction, portability where applicable, or object to processing based on legitimate interests. Contact events@waxgroup.co.uk and include enough detail for us to find the relevant event or photograph.
You may also complain to the Information Commissioner's Office.

The website uses essential cookies and browser storage for security, baskets, favourites and access to purchased downloads. With your consent, it also uses Google Analytics to understand site usage and improve the gallery experience. See our cookies notice for details.
